I am representing Columbus Chorus of Sweet Adelines (a 501c3 non-profit organization) as the Marketing Manager for the chorus. On November 4, 2023, Columbus Chorus entered into a contract with Cokes Media to provide us photography services at our annual show. We paid them a deposit of $200.00 and were to pay the remainder of the $195.00 on the day of the show. The show was scheduled for December 3, 2023. On that day, Cokes media did not show up at the venue and we never received a call to cancel. We have sent a couple of emails asking for a refund for our deposit. After we did not hear back, I have called a number of times. I spoke with a woman who told me she was the actual photographer and that she was not aware of the commitment and that she was sick that day. She apologized and told me I would hear back from ***** Cokes as soon as possible. When I did not hear back, I called him. We had a conversation on December 25th when I did call back, he apologized and said we would be refunded by the 4th of January. We have not received the refund and now I have called a number of times, left voice mail messages, and have heard nothing in return. Today is January 15, 2024. We would like the refund of $200.00 for the deposit.

It is always troubling when a client has an issue with our service. Now while we are not perfect, we are always aiming to be. The matter of the refund is handled by a 3rd party (PayPal) who we use as we are a small black owned business for protection, and ease of payment for our customers. PayPal offers us (seller) and our customers (buyer) a way to create a better experience and safety for both parties. As you will remember in this matter you received a PayPal invoice and you paid thru that portal, because of this the payment must be processed thru PayPal, which is what we have done. Once we submitted it for refund it is up to them to handle. I have follows up with PayPal and they assured me it was being processed and sent back. I am very sorry that it has come to this, but it is my responsibility to you, my customer to make this right. I have reached out once again to the 3rd party (PayPal) for the status of the transaction. They have told me it has been processed. I have escalated the matter and I am waiting for their response. (It is January 17th, 7:15 pm) they have told me a response will be coming in the next 24-48 hours. I have also offered to cover a single choir event at no charge to your organization for your trouble and sign of good will. Cokes media will make this right! Once we apologize for your inconvenience.

    Customer Answer

    Date: 01/25/2024

Good afternoon, I have been trying to contact your office in regard to my complaint # 21147777 which has been closed. This complaint has not been resolved so I am asking that it be re-opened. The business in question, Cokes Media sent the BBB a response that they were going to reimburse us through PayPal. We have not received the payment. I have delayed my response to the BBB in order for Mr. Cokes to follow up with PayPal.

Our original payment was made with a credit card which was submitted through a link (through PayPal) that Mr. Cokes had sent us. We have been waiting for almost two months for this refund of $200 to be credited back to our Credit Card. We will accept other payment options if they are having difficulties with PayPal.

Please advise. Thank you for your attention to this matter.
